Terms of Service
Last updated: May 2026
These Terms govern your access to and use of MailMind. By creating an account or connecting a mailbox, you agree to these Terms.
1. The Service
MailMind ("we", "our", "the Service") is an AI-powered email assistant that connects to your Gmail or Microsoft mailbox to summarize, prioritize, and help you reply to messages. The Service is provided as-is and may evolve over time.
2. Eligibility & account
- You must be at least 16 years old to use MailMind.
- You must own or have valid permission to connect any mailbox you authorize.
- You are responsible for all activity under your account and for keeping your credentials secure.
3. Acceptable use
You agree not to:
- Use MailMind to send spam, phishing, harassment, or unlawful content.
- Reverse-engineer, scrape, or attempt to bypass our rate limits or security controls.
- Resell, sublicense, or expose the Service's API to third parties without written consent.
- Use the Service in violation of any law, including export controls and sanctions.
We may suspend or terminate accounts that abuse the Service, threaten its integrity, or harm other users.
4. AI-generated content
MailMind uses large language models to summarize emails and draft replies. AI output may be inaccurate, incomplete, or out of date. You are responsible for reviewing any reply before it is sent — even when using auto-send rules. We do not warrant the accuracy of AI output.
Auto-send automations execute the actions you configure. Use approval mode if you want to review every reply. We strongly recommend testing rules carefully before enabling auto-send.
5. Subscriptions & billing
- Paid plans are billed through Paddle on a recurring monthly basis.
- Daily credit limits apply per plan. Unused credits do not roll over.
- You may cancel any time; the plan remains active until the end of the paid period.
- Refunds are handled case-by-case under Paddle's buyer terms.
Prices may change with at least 14 days' notice for existing subscribers.
6. Your content & license
You retain ownership of your emails, profile content, and any text you provide. You grant MailMind a limited, non-exclusive license to access, process, transmit, and store that content solely to operate and improve the Service for you.
7. Third-party providers
The Service depends on third-party providers (Google, Microsoft, Microsoft Azure OpenAI, Paddle, Vercel). Their availability, terms, and policies apply when their components are involved. Outages or policy changes by these providers may affect MailMind's functionality.
8. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted, secure, or error-free.
9. Limitation of liability
To the maximum extent permitted by law, MailMind and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or loss of profits, data, or goodwill arising from your use of the Service. Our total liability for any claim is capped at the amount you paid us in the previous twelve months.
10. Termination
You may stop using the Service at any time. We may suspend or terminate accounts that violate these Terms, create security risks, or expose us to legal liability. Upon termination, your data is deleted as described in our Privacy Policy.
11. Changes to the Terms
We may update these Terms occasionally. Material changes will be announced in-app or by email. Continued use of the Service after the effective date constitutes acceptance of the revised Terms.
12. Governing law
These Terms are governed by the laws of the operator's jurisdiction, without regard to conflict-of-law principles. Any dispute will be resolved in the competent courts of that jurisdiction.
